Policy : Manage Bias as an Ongoing Operational Concern

Commitment to Ongoing Bias Management in AI Bias in AI systems is not a deployment-time defect that can be fixed once and forgotten. It is a persistent, dynamic risk that changes as the world changes, as deployment conditions evolve, and as the system is used in ways not fully anticipated during development. A model that passes fairness evaluation at launch may develop differential performance across subgroups as the population it serves changes. A model trained on historical data encodes historical inequities that manifest differently in different deployment contexts. Our commitment is to treat bias management as an operational discipline — continuous, structured, and accountable — not as a pre-deployment checklist item.

What This Means Managing bias as an ongoing concern means building bias monitoring into production operations with the same rigour as performance monitoring. It means defining what fairness means for each AI system, in terms that are meaningful to the people it affects, before deployment. It means tracking fairness metrics continuously and acting when they breach defined thresholds. And it means accepting that bias mitigation is imperfect and iterative — always improving, never complete.

Our commitment to managing bias as an ongoing operational concern is built on:

  • Fairness Definition Per System – Before deployment, we define what fairness means for each AI system: which protected characteristics are relevant, what differential performance thresholds are acceptable, and what the harm profile of different types of fairness failure looks like. Fairness is not assumed to mean the same thing across all systems.
  • Pre-Deployment Fairness Evaluation – Models are evaluated against defined fairness criteria before deployment. This evaluation covers performance disaggregated by relevant subgroups, analysis of false positive and false negative rate differentials, and assessment of whether the training data is representative of the population the model will serve.
  • Production Fairness Monitoring – Fairness metrics are monitored continuously in production. Dashboards show disaggregated performance metrics across relevant subgroups. Alerts fire when differential performance exceeds defined thresholds. Monitoring is automated — not dependent on periodic manual analysis.
  • Bias Incident Response – When production monitoring detects bias above acceptable thresholds, a defined incident response process is triggered. The response includes immediate investigation, user communication where appropriate, interim mitigation measures, and a structured remediation timeline.
  • Training Data Bias Review – New training data is reviewed for bias before being used in model retraining. Data that reinforces historical patterns of discrimination is identified and addressed before it enters the training pipeline, not discovered after the model is deployed.
  • Third-Party Bias Audits – AI systems with significant potential for discriminatory impact are subject to periodic independent bias audits. Independent review surfaces blind spots that internal teams may miss and provides external validation of fairness claims.
  • Bias Learning Sharing – Bias findings from individual systems are shared across the AI practice. Patterns of bias, effective mitigation approaches, and new fairness methodologies are documented and disseminated. Bias learning is organisational, not siloed within individual teams.

Why This Matters Bias in AI systems causes real harm to real people — people who receive inferior service, are incorrectly assessed, or are systematically disadvantaged by systems that were built, however unintentionally, to disadvantage them. Beyond the direct harm, bias incidents attract regulatory scrutiny, reputational damage, and legal liability. Regulators in multiple jurisdictions are increasingly requiring ongoing bias monitoring as a condition of deploying AI in high-risk domains. Treating bias as a one-time gate to pass rather than an ongoing concern to manage is both ethically insufficient and strategically naive.

Our Expectation Every AI system with potential for differential impact has active production fairness monitoring, a defined fairness threshold for each relevant metric, and a documented process for investigating and responding to fairness breaches. Teams that evaluate fairness at deployment and consider the matter closed are not managing bias — they are creating liability. Managing bias as an ongoing operational concern is how we build AI systems that are genuinely Safer and fair to all the people they affect.
